Job Summary
Gemini Tech Services, LLC is seeking a dependable and organized Personnel Assistant to provide clerical, administrative, customer service, and personnel-support services for a government customer in Sacramento, California. The successful candidate will support day-to-day administrative operations, maintain accurate records, assist with applicant and personnel documentation, prepare reports, coordinate schedules, and provide professional assistance to staff and customers. This is a civilian contractor position; no military experience is required.
Essential Duties and Responsibilities
· Provide administrative and clerical support to program and office personnel, including typing, editing, formatting, and distributing correspondence and other documents in accordance with established procedures.
· Prepare recognition materials, certificates, plaques, and related items using established templates and procedures.
· Answer and direct incoming telephone calls and greet or assist visitors in a professional manner.
· Schedule and coordinate meetings, appointments, conference calls, and other office activities as required.
· Communicate professionally with staff members, applicants, customers, vendors, and members of the public on a daily basis.
· Develop and maintain organized filing systems for applicant and personnel records, correspondence, forms, reports, meeting minutes, and other administrative materials.
· Assist with document distribution, photocopying, scanning, mailing, and preparation of routine correspondence and outgoing materials.
· Compile and maintain data for monthly, quarterly, and annual reports.
· Assist with reviewing and verifying the accuracy and completeness of applicant and personnel paperwork and update records in secure automated personnel systems as required.
· Organize, collect, analyze, and present statistical information used to track applicants, workload, goals, and program performance.
· Access and update multiple standard automated personnel and business systems simultaneously while maintaining accuracy and confidentiality.
· Obtain workload data and track progress toward objectives and resource-use requirements using web-based applications and other commercially available software.
· Respond to routine customer and administrative inquiries by telephone and email and coordinate with supported office personnel and service providers.
· Collect workload information and assist in developing and maintaining performance metrics used to measure office performance against established quality standards.
· Wear and visibly display the contractor identification badge when performing work at a government customer location, in accordance with site requirements.
· Identify yourself as a contractor employee when answering customer or government-provided telephone lines.
· Perform office automation duties using email, word processing, spreadsheets, databases, presentations, calendars, document-management tools, and related business software.
· Carry out recurring office procedures independently and manage assigned administrative tasks within established priorities and procedures.
· Handle routine situations, problems, and deviations in accordance with general instructions, priorities, policies, and program objectives.
· Refer non-routine requests or issues to the appropriate manager or designated staff member.
Qualifications
· High school diploma or equivalent and at least three (3) years of applicable administrative, clerical, personnel, customer service, or office-support experience.
· Proficiency with Microsoft Office applications, including Word, Excel, Outlook, PowerPoint, Access, and related office productivity, scheduling, spreadsheet, database, and document-management tools.
· Experience editing, formatting, and preparing professional business correspondence and administrative documents in accordance with established organizational standards.
· Knowledge of professional written and verbal communication principles and practices.
· Strong communication skills, including the ability to gather information, communicate issues, and accurately convey results.
· Ability to work effectively with others while managing multiple assignments, priorities, and deadlines.
· Strong organizational skills and attention to detail.
· Ability to handle confidential personnel and applicant information appropriately.
Physical Requirements and Work Environment
The position may require the ability to lift and carry up to 10 pounds and occasionally push, pull, stoop, bend, squat, and reach. The work is primarily performed in an office environment, with occasional exposure to outdoor conditions, including heat, cold, dust, or inclement weather. Periodic overtime may be required based on business or customer needs.
Contractor Position
This is a civilian contractor position with Gemini Tech Services, LLC supporting a government customer. Employees are expected to comply with applicable customer-site access, identification, safety, security, privacy, and workplace procedures. Military service or prior military experience is not required.
